Office Administrator

A leading real estate fund management company is seeking a dynamic and proactive Office Administrator to join our London office. As the first point of contact for visitors and a crucial support figure for the entire team, this Office Administrator role is instrumental in maintaining the smooth day-to-day operations of our vibrant workspace.

 

Primary Responsibilities:

Office Support:

- Keep the reception area, kitchen, and the entire office space under the watchful eye of our dedicated Office Administrator, ensuring a consistently tidy and inviting atmosphere.

- Extend a warm welcome to visitors, provide refreshments, and maintain a welcoming ambiance throughout, courtesy of our diligent Office Administrator.

- Skilfully manage Office Administrator supplies, covering everything from stationary to kitchen essentials.

- Facilitate seamless operations by booking and coordinating Office Administrator meeting rooms.

- Take charge of calendar management, ensuring smooth scheduling of Office Administrator meetings and organizing lunches as needed.

- Handle diverse administrative tasks including filing, photocopying, scanning, presentation binding, and maintaining updated Office Administrator contact databases.

- Efficiently manage incoming and outgoing post, deliveries, and Office Administrator couriers.

- Trust our Office Administrator to make extensive international and domestic travel bookings.

- Manage calls, messages, and document signing with the utmost precision, showcasing the reliability of our Office Administrator.

 

Finance Support:

- Depend on our Office Administrator to provide seamless administrative support for Web expenses, encompassing monthly expenses reclaims and credit cards.

 

IT Support:

- Rely on our Office Administrator for responsive ad-hoc IT support, particularly in navigating Egnyte intricacies, managing Teams internal sharing, and overseeing mobile contracts, new phone setups, paperwork, and queries.

- Count on our Office Administrator to assist with laptop setups, ensuring a smooth and hassle-free experience.

 

Qualifications:

- Proven experience as an Office Administrator, Senior Executive Assistant, or in a similar role.

- Excellent organizational and multitasking abilities for the Office Administrator.

- Strong communication and interpersonal skills for the Office Administrator.

- Proficient in MS Office Suite and familiarity with IT tools for the Office Administrator.

- Ability to handle confidential information with discretion for the Office Administrator.

- Attention to detail and commitment to maintaining a professional office environment for the Office Administrator.
