A well known insurance company based in the City of London are currently looking for a PA to join their team on a 12 month fixed term contract. You will provide comprehensive secretarial and administration support senior individuals and their respective teams, where required. You will act as first point of contact for both internal and external clients wishing to contact the team, arrange internal / external meetings including booking meeting rooms / venues, booking and setting up telephone or video conferencing equipment and lunch / refreshment arrangements, liaising with training providers where necessary. Your other day to day duties will include coordinating travel arrangements, accommodation, producing itineraries, liaising with internal and external clients and arranging foreign currency along with passport / visas where applicable, PowerPoint presentations for meetings, process expenses for the team, provide diary management support as appropriate including acceptances / declines for meeting requests, act as the gatekeeper to meeting requiests, ensuring adequate preparation and travel time is allotted, meet and greet visitors, maintain absence, attendance and annual leave reports where required, take the initiative to identify and resolve problems as they arise, assist other members of the team, manage ad hoc tasks, undertake any other reasonable duties and participate in projects as required.

Education and Qualifications

Educated to 'A' level/High School graduate or equivalent is desirable

Professional secretarial qualifications would be beneficial to this role

Do you have the below skills?

Strong communication skills, both verbal and written

Advanced in all Microsoft Office programs. Access skills are advantageous but not essential

The ability to manage time, meet deadlines and prioritise

Excellent understanding of organisational processes

Accurate and numerate

Proven secretarial / administration experience

Experience of arranging complex travel plans and itineraries

Experience of working with people across multiple locations

Professional approach to successfully interact with managers/colleagues and external suppliers
