Office Manager

A boutique investment company located in the heart of the West End is seeking a fastidious Office Manager as the current Office Manager is moving on after eight years. You be supporting the business and private interests of two Partners', brothers, with varied interests who rely heavily on their office manager to ensure the smooth running of everything behind the scenes and ensuring that all clients receive exceptional service.

Ideally from a financial services background, you would describe yourself as numerate with both bookkeeping and Sage experience. You have excellent communications skills and have previously worked as an Office Manager. You would line manage another team member so experience of this would be welcomed. Building relationships with investors, clients and service providers is key. This is a hands on role and you should be a self-starter and have the ability to work autonomously and tackle the tasks at hand. You would describe yourself as friendly and approachable, yet a tough cookie who is able to work under pressure!

Duties will include:



* Manage company accounts (x 4 companies) to include:

* Monthly bank and credit card reconciliations
* Budget forecasts
* Process purchase invoices, multi-currency expenses, and petty cash
* Raise sales invoices for client fees and recharges of facilities
* Make domestic and international bank transfers and payments
* VAT returns using Government Gateway online submission
* Prepare FYE accounts for submission to Auditors / Accountants
* Maintain budget and report to monthly management meeting
* Collate and submit info for the senior partners tax returns
* Good knowledge of SAGE and Excel is essential

* Manage the PA and cover responsibilities during leave: coordinate diaries, arrange meetings and conference calls, monitor email traffic, stationery and office supplies, book travel and prepare itineraries
* Provide ad hoc assistance to the wider team of 10; prepare, edit and format Word, Excel and PowerPoint documents
* Maintain office filing, both hard copies and shared electronic files
* Work with the Compliance Officer and external Compliance Consultant to fulfil the company's FCA obligations.
* Process monthly wages, pension and PAYE according to payroll, and track annual leave
* Responsible for submissions and filing at Companies House
* Ensure website is up to date at all times
* Meet with suppliers and negotiate best contracts for products/services e.g. cleaners, couriers, liability insurance etc
* Liaise with landlord for maintenance and repairs of office and public areas
* Any ad hoc projects as and when required

Essential for this role is liaising with Companies House and the FCA, using Sage or a close equivalent and submitting VAT returns as this will form a large part of this role.

A boutique family office who manage the interests of an ultra HNWI is seeking an office manager to support with the setting up and management of this stunning office that liaises with clients who are also ultra HNWI's. This client are seeking an office manager who has experience of liaising with clients on a regular basis and ensuring all their needs are met

As a new company there is scope for this role to develop enormously so would suit someone who is able to articulate well, enjoys working with demanding people and would describe themselves as a 'people person'. You will be mentored by an Executive Assistant within a sister company, so you will be supported from day one.

Duties will include:



* Ensuring the office runs smoothly at all times; this will include meeting/greeting all guests, ensuring all rooms are ready for meetings which will often be last minute and picking up breakfast and lunches for the team when needed
* Liaising with all suppliers; IT, office equipment, stationery providers and cleaners. You will be the first point of contact for anything office related and want to use the current network you have or looking at building up a strong list of useful contacts
* Supporting the CEO of this bijou office with PA duties; diary management, travel booking and assisting with setting up meetings
